Privacy Policy

This Privacy Policy explains what personal information Summit Coaching collects, why we collect it, how we use it, and the choices you have. It applies to this website and to the coaching application process.

1. Information we collect

We only collect information you give us directly. We do not buy contact lists, and we do not obtain your details from lead brokers or affiliates.

• Contact details. Your name and email address, submitted through the form on this site.
• Application details. If you continue to our coaching application, we collect your phone number, Instagram handle, age, city, country, training goals, coaching history, and your answers about budget and timing.
• Scheduling details. If you book a call, we collect the date, time, and any notes you provide.
• Technical data. Standard server and analytics data such as IP address, browser type, device type, referring page, and pages viewed.

2. How we use your information

• To review your coaching application and decide whether the program is a fit.
• To contact you about your application, to schedule a call, and to send reminders about a call you booked.
• To deliver coaching services and support if you become a client.
• To send you training and nutrition content, program updates, and offers, where you have asked to receive them.
• To operate, secure, and improve this website.
• To meet our legal and record keeping obligations.

3. SMS and text messaging

If you provide your phone number during the application process, you are agreeing to receive text messages from Summit Coaching relating to your application, your scheduled call, and your coaching. Consent to receive text messages is not a condition of purchasing anything from us.

• Message types. Application follow up, call scheduling and reminders, and coaching support messages.
• Message frequency. Frequency varies based on where you are in the process. You will typically receive a small number of messages per week.
• Cost. Message and data rates may apply, depending on your mobile carrier and plan.
• Opting out. Reply STOP to any message to stop receiving texts from us. You will get one confirmation message and then no further texts.
• Help. Reply HELP to any message, or contact us at gavin@gavinobriencoaching.ca or +1 (587) 598-5812.
• Carriers. Mobile carriers are not liable for delayed or undelivered messages.

4. Email

If you opt in to our emails, we send training content, program updates, and offers. Every email includes an unsubscribe link. Unsubscribing from marketing email does not stop transactional messages about an application or a call you booked.

5. How we share information

We do not sell your personal information, and we do not rent or trade it. We share it only in these situations:

• Service providers. Companies that run parts of our operation on our behalf, such as our CRM and messaging platform, our form provider, our email platform, our scheduling tools, and our website host. They may only use the information to provide their service to us.
• Legal reasons. Where we are required to by law, or to protect our rights, safety, or property.
• Business transfer. If the business is sold or reorganised, information may transfer as part of that transaction.

As stated above, mobile phone numbers and SMS consent data are excluded from any sharing for marketing or promotional purposes.

6. Cookies and analytics

We use Plausible Analytics to understand how visitors use this site. Plausible is privacy focused and does not use cookies, does not collect any personal information, and does not track you across websites or over time. It records aggregate data only, such as page views, referring site, country, device type, and which parts of our video people watch. None of it can be used to identify you.

Because no cookies are set for analytics, there is nothing for you to consent to or opt out of. Your browser may still store small amounts of data needed for the site itself to function.

7. Data retention

We keep application and client information for as long as needed to provide our services and to meet legal, tax, and record keeping requirements. When information is no longer needed, we delete it or anonymise it.

8. Your rights

You can ask us to access, correct, or delete the personal information we hold about you, and you can withdraw consent to marketing at any time. Contact us at gavin@gavinobriencoaching.ca and we will respond within a reasonable period. If you are in Canada, you may also contact the Office of the Privacy Commissioner of Canada.

9. Security

We use reasonable technical and organisational measures to protect your information, including encrypted connections and access controls on the platforms we use. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. Children

This website and our coaching services are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.

11. International visitors

We operate from Canada. If you contact us from another country, your information may be processed in Canada, the United States, or wherever our service providers operate.

12. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last revised. Continuing to use the site after a change means you accept the updated policy.
